Setting Workspace up so the business owns its data

The most common problem we’re called in to fix isn’t technical — it’s ownership. The domain was registered to a personal account, files live in an ex-employee’s Drive, and the admin password is on a note in someone’s wallet.

We restructure that: the business owns the domain, files sit in shared drives rather than personal ones, admin access is properly delegated, and a departing staff member’s data stays with the company automatically. Nothing walks out the door with a resignation.

Migrating to or from Google

We move businesses onto Workspace from old IMAP hosting and on-premises servers, and off it to Microsoft 365 when that’s genuinely the better fit. Mail, calendars, contacts and Drive content transfer with history intact, and cutover runs outside business hours.

Which platform actually suits you

We manage both, so we have no reason to push either. Broadly: Workspace wins on collaborative editing, simplicity and cost per seat. Microsoft 365 wins if you depend on desktop Excel, need Teams telephony, or run industry software that assumes Outlook.

We run our business on personal Gmail accounts. Is it worth switching?

Almost always. You get email on your own domain (you@yourbusiness.com.au), shared files that belong to the business rather than one person's account, and control when staff leave. It's one of the cheapest professionalism upgrades a small business can make.

Google Workspace or Microsoft 365 — which should we pick?
